Terms & Conditions
These Terms & Conditions apply to all appointments, services and vouchers provided by SED Sports Massage Therapy (“we”, “us”, “our”) at our clinic in Hook, Hampshire and at any off-site locations.
By booking an appointment, purchasing a voucher or attending a session, you agree to these terms.
1. Appointments & Bookings

Appointments are booked via our online booking system, by phone or by direct message.

You are responsible for ensuring your contact details are correct so we can send confirmations and reminders.

New clients may be asked to complete a short health questionnaire before or at the start of their first session.
2. 24-Hour Cancellation & Reschedule Policy
We operate a strict 24-hour cancellation and reschedule policy.

Cancellations or changes made more than 24 hours before your appointment:

No fee is charged and any pre-paid session is simply moved to the new time.

Cancellations, reschedules or no-shows within 24 hours of your appointment:

We reserve the right to charge up to the full appointment fee or redeem any pre-paid session / voucher in full.

This policy is clearly displayed on our website, within our booking system and may be referenced in confirmation and reminder messages. By completing a booking you acknowledge that you have read and accepted this policy.
3. Late Arrival

Please arrive on time for your appointment.
-
If you are late, your session may be shortened to avoid impacting the next client, but the full fee will still apply.

If you are more than 15 minutes late, we may need to treat this as a missed appointment, and our 24-hour policy will apply.
4. Health, Medical Information & Consent

You must inform us of any relevant medical conditions, recent operations, injuries, pregnancies, allergies or changes in medication prior to treatment.

We may decline or modify treatment if we feel it is not appropriate or safe.

Our services are complementary and are not a substitute for medical diagnosis or treatment. You should always seek advice from your GP or other healthcare professional regarding any health concerns.

By attending, you give consent for manual therapy and/or exercise-based treatment as discussed with your therapist.
5. Personal Training & Exercise Sessions
For PT sessions delivered in a local gym:

You agree to follow the safety rules and membership terms of the gym where sessions take place.

You are responsible for wearing appropriate clothing and footwear and informing us immediately if you feel unwell during a session.

As with all exercise, there is a small risk of injury; we aim to minimise this through proper screening, coaching and load management.
6. Payments & Pricing

Current prices are listed on our website and/or booking system and may change from time to time.

Payment is usually taken at the time of booking or at the appointment by card, cash or other methods we offer.

Packages or block bookings must be paid for in advance unless otherwise agreed.

If an invoice is issued (for example, for event cover), payment terms will be clearly stated and must be adhered to.
7. Gift Vouchers

Vouchers are valid for 4 months from the date of purchase, unless a different expiry date is clearly stated on the voucher.

The expiry date is firm; once expired, vouchers cannot be used, extended or refunded.

Vouchers are non-refundable and not exchangeable for cash.

Vouchers may be used towards any eligible treatment of equal or greater value; if the treatment cost exceeds the voucher value, the difference must be paid.

Lost or stolen vouchers may not be replaced, so please keep your voucher details safe.
8. Under-18s

Clients under 18 must have parental/guardian consent and may be required to have a responsible adult present for the session.

We reserve the right to refuse treatment without appropriate consent.
9. Conduct & Right to Refuse Treatment
We aim to provide a professional, respectful and relaxing environment.

Any inappropriate behaviour, harassment or intoxication may result in immediate termination of the session and full payment being due.

We reserve the right to refuse treatment at our discretion if we believe it is not in your best interest or if our safety or professionalism are compromised.
10. Data & Privacy

We keep brief treatment notes and contact details in line with professional guidelines.

Your personal information is used only for providing services, managing bookings and sending essential communications.

We do not sell your data to third parties. For full details, please refer to our privacy notice (if you have one on the site).
11. Changes to These Terms
We may update these Terms & Conditions from time to time. The latest version will always be available on our website and will apply to all new bookings from the date of publication.
